Welcome to Flowzo ("Flowzo", "we," or "us"). This Privacy Policy covers our Service, our website at https://www.flowzo.ai, the Flowzo CRM platform and all related services. By using the Service, you accept the privacy practices described in this Policy.
01 — Introduction

Introduction

This Privacy Policy describes the information we gather on or through the Service, how we use and disclose such information, and the steps we take to protect it. By visiting the Site, or by purchasing or using the Service, you accept the privacy practices described in this Policy.

This Policy is incorporated into and subject to the Flowzo Terms of Service. This Policy is published in compliance with the Information Technology Act, 2000 and the IT (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011.

02 — Definitions

Definitions

  • "Customer" — a customer of Flowzo who has subscribed to our Service.
  • "Customer Data" — personal data, reports, addresses, and other files or documents in electronic form that a User stores within the Service.
  • "Personal Data" — any information relating to an identified or identifiable natural person.
  • "Sensitive Personal Data" — Personal Data relating to passwords; financial information; health conditions; biometric data; and similar categories as defined under applicable Indian law.
  • "Public Area" — the area of the Site that can be accessed by both Users and Visitors without logging in.
  • "Restricted Area" — the area of the Site that can be accessed only by Users after logging in.
  • "User" — an employee, agent, or representative of a Customer who uses the Restricted Area of the Site.
  • "Visitor" — an individual who uses the Public Area but has no access to the Restricted Area.
03 — Applicability

Who Does This Apply To?

This Policy applies to (i) entities or individuals, including End-Users and Users, who have subscribed to our Service(s) and agreed to the Terms (hereinafter "Customer"), and (ii) individuals from whom Flowzo collects data as a controller as specified below.

04 — Data Collection

Information We Collect on the Service

Customer Information

A Customer or User may store or upload Customer Data into the Service. Flowzo has no direct relationship with the individuals whose Personal Data it hosts as part of Customer Data. Each Customer is responsible for providing notice to its customers and third persons concerning the purpose for which it collects their Personal Data.

User-Provided Information

When you use the Service as a User or Visitor, you may provide Personal Data including name, email address, mailing address, phone numbers, and billing information. You may provide this data when registering, using the Service, posting Customer Data, interacting with other users through email, SMS or calls, or sending us support requests.

If you choose to activate SMS, Call Log, or Email Sync, we never collect or store any information that does not pertain to Leads, Contacts, or Deals as found in the Service.

Automatically Collected Information

When you use the Service, we may automatically collect information including IP address, device type, browser type, location, pages visited before or after using the Service, pages viewed within the Service, and dates and times of access. We may also collect information about your interaction with email messages, such as whether you open, click on, or forward a message.

Integrated Services

You may register or log in through third-party services ("Integrated Services") such as Google or Microsoft 365. By authorising such a connection, you allow us to access and store the name, email address(es), phone number(s), date of birth, gender, current city, current country, profile picture URL, and other information the Integrated Service makes available. Please review each Integrated Service's privacy policy before connecting it to Flowzo.

Information from Other Sources

We may obtain Personal Data from third parties such as partners, advertisers, credit rating agencies, and Integrated Services. If we combine such information with Personal Data collected through the Service, we treat the combined information as Personal Data in accordance with this Policy.

05 — Data Use

How We Use the Information We Collect

We use this information to analyse and identify your behaviour and enhance the overall Service and website experience.

Operations

We use the information to operate, maintain, enhance, and provide all features of the Service; to provide the services and information you request; to respond to comments and queries; and to provide support to users. We process Customer Data solely in accordance with the directions provided by the applicable Customer or User.

Improvements

We use the information to understand and analyse usage trends and preferences, to improve the Service, and to develop new products, services, features, and functionality. We may conduct anonymised usage behaviour analysis or process Customer Data at the aggregate level.

Communications

We may use your email address or other information to contact you: (i) for customer service, billing, or intellectual property matters; (ii) with newsletters and updates about our products and services where you have given consent; or (iii) to re-target advertisements using platforms such as Facebook, Google, or LinkedIn. You can opt out of receiving any communications at any time.

Anonymised Data

Where data is anonymised and aggregated, we may use it freely subject to applicable law. Where non-anonymised data is used for purposes other than rendering Services to you, we will seek your explicit consent, which you may withdraw at any time by emailing support@flowzo.ai.

06 — Cookies & Tracking

Cookies & Tracking

Cookies are text files sent from our server and downloaded to your device when you visit our website. You can disable them from your browser settings.

Web Beacons (also known as Clear GIFs or Pixel Tags) are tiny image files we may embed in our website or Service to track behaviour and navigation. Unlike cookies, they are not downloaded to your device.

Analytics

We use Google Analytics, Mixpanel, and other third-party analytics tools to measure and evaluate traffic on the Public Area of the Site, understand user navigation, and analyse path to purchase. These tools operate independently and have their own privacy policies.

07 — Google API

Google API Disclosure

This section describes how Flowzo collects and uses your Google data when you provide access to your Google account.

  • Flowzo will only use the granted access to read, write, modify, or control Gmail message bodies (including attachments), metadata, and headers, enabling Users to read received emails and send emails using Gmail credentials within the app.
  • Flowzo will not transfer Gmail data to others unless doing so is necessary to provide and improve existing features, comply with applicable law, or as part of a merger, acquisition, or sale of assets.
  • Flowzo will not use Gmail data for sending content or advertisements.
  • Flowzo's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirement.

Google Sign-In

We use Google Sign-In solely for authentication. We read your full name, email address, phone number, and publicly available profile picture. We do not access your Google Drive files, Docs, Calendar data, or any other private Google account data. To remove Flowzo's access, visit your Google Account Security Settings.

08 — Facebook

Facebook Integration

When you connect your Facebook account with Flowzo CRM, we collect: Facebook authentication data (solely for authentication) and leads from your Facebook Lead Forms (fetched and stored in real-time within Flowzo CRM). You can monitor all leads collected from Facebook via the Facebook Lead Capture module.

Once you request data deletion, all associated lead history and interactions will be permanently deleted. This action cannot be undone.

09 — Payments

Payment Information

For payment processing, we transmit the following to our payment processor(s): cardholder name, email address, card information, expiry date, CVV/CVC code, and transaction date, time, and amount. We also accept payment via Cheque, NEFT, RTGS, and digital options. Our payment gateway partners include Razorpay, PayPal, and Payoneer.

Card Security

We do not store full credit or debit card numbers on our servers. Payment processors do not gain access to your other account data at any time.

10 — Children

Minors & Children's Policy

Our Service is not directed to children under the age of 18, and we do not knowingly collect Personal Data from children under 18 without parental consent. If you are under 18, please do not use or access the Service.

If we learn that Personal Data has been collected from persons under 18 without verifiable parental consent, we will take appropriate steps to delete this information. If you are a parent or guardian and discover your child under 18 has obtained an account, please contact us at support@flowzo.ai.

11 — Security

Data Security

We follow generally accepted industry standards to protect the information submitted to us, both during transmission and once received. We maintain appropriate administrative, technical, and physical safeguards to protect Personal Data against accidental or unlawful destruction, loss, unauthorised alteration, unauthorised disclosure, misuse, and any other unlawful form of processing.

Our security measures include firewalls, password protection, access and authentication controls, SSL/TLS encryption for data in transit, and application-layer security features. All data is stored on servers located in India.

No method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee that your information may not be accessed, disclosed, altered, or destroyed by breach of any of our safeguards. If you believe your Personal Data has been compromised, please contact us immediately at support@flowzo.ai.

12 — Retention

We retain Personal Data only for as long as your account is active or as needed to fulfil the purposes described in this Policy, unless otherwise required by law.

In case you have submitted your personal information and contact details, we reserve the right to call, SMS, email, or send WhatsApp messages about our products and offers, even if your number has DND activated on it.

13 — Compelled Disclosure

In addition to the purposes set out in this Policy, we may disclose data we collect or process from you if it is required:

  • Under applicable law or to respond to a legal process such as a search warrant, court order, or subpoena;
  • To protect the safety of our users, ourselves, or others, in the context of national security, law enforcement, litigation, or criminal investigation;
  • To investigate fraud or violation of our Acceptable Use Policy;
  • If required in connection with legal proceedings brought against Flowzo, its officers, employees, affiliates, customers, or vendors; or
  • To establish, exercise, protect, defend, and enforce our legal rights.
14 — Data Deletion

Data Deletion

Users have the right to request the deletion of their personal data from Flowzo at any time by submitting a formal request to support@flowzo.ai. We will process your request in accordance with our data retention obligations and applicable law.
